Job Description
Position Summary:
The Siemens Center for Applied Medical Imaging, located at a leading university hospital, consists of a small highly motivated, interdisciplinary team of scientists and engineers. The Center is seeking a sharp, experienced individual to join its team. The individual will plan and execute duties independently, and will be relied on to apply knowledge of the organizational structure, functions, and policies and procedures relative to handling administrative matters. The successsful candidate will proactively develop systems for organizing and reporting information, and create methods for meeting new procedures and changing requirements. Strong attention to detail, excellent communications skills, ability to create new solutions, establish and maintain relationships with a variety of people in different roles / levels and physical locations are essential.
Position Responsibilities:
Duties will include but are not limited to:
University Collaboration Support
- Complete agreement templates for projects with collaboration partners and work with investigators at other institutions and their research administration offices to execute the agreements.
- Track agreements through compliance review and signature processes at collaborating institutions and Siemens.
- Track deliverables due from collaborating institutions and remind investigators about due dates and deliverables.
- Help prepare summary reports of research outcomes at collaborating sites.
- Help organize annual user’s group meeting of interventional MRI collaborators worldwide.
- Manage human studies projects as study coordinator.
Marketing/Communication Support
- Maintain lists of publications, presentations, patents for group for use on intranet/internet.
- Update intranet/internet site .
- Assist in production of ‘newsletters’ and/or reports on center’s activities (internal and public)
Business Administration/Financial
- Run monthly reports and verify accuracy of charges to projects.
- Assist department head in preparation of budgets.
- Track invoices and overall research project spending.
General Administrative
- Maintain department calendar and schedules of appointments and meetings.
- Retrieve essential documentation and information needed by department head and staff for meetings and projects, and presents it in an orderly arrangement, attaching appropriate references, files, etc., for their ready use.
- Arrange conference logistics, as needed, including conference locations, audio-visual support, timely notification of attendees, and preparation and distribution of agendas.
- Assist with intern hiring/onboarding for group.
Essential skills and experience:
- Bachelors degree or equivalent.
- Minimum of 5-8 years related experience in various functions.
- Excellent skills in MS office software applications (word & excel)
- Outstanding written and verbal communication.
- Excellent interpersonal skills and can do attitude.
- Ability to work independently and prioritize work.
- Ability to multi-task and follow through.
- Detail oriented and organized.
- Ability to collaborate with others and thrive in a virtual environment.
- Flexibility and adaptability to work in a growing, dynamic and fast-paced environment.
- Ability to quickly learn new software tools.
