Job Summary Performs advanced, diversified and confidential administrative duties. Communicates and/or coordinates executive’s instructions and desires with various individuals and/or departments. Schedules appointments and arranges meetings, conferences and travel. Organizes and maintains correspondence and projects, following up on pending matters with limited direction. Handles highly confidential information and files. Communicates with individuals at all levels in the organization, industry and community. Organizes and expedites work through executive?s office and initiates follow-up action. Operates a personal computer and appropriate software. Assignments are broad in nature and usually require originality and ingenuity. May serve as a resource to others in the resolution of problems and issues. Typically supports executive layer 3. 8 years related experience.
# Position Responsibilities Provide administrative support including phone coverage, scheduling calendar, travel and meetings, photocopying, processing expense reports, making travel arrangements, maintaining department and project files and handling mail – all with a sense of urgency and confidentiality.

# Analyze and maintain department budgets for all direct reports.

# Track litigation, update case reports, maintain database for code of conduct tracking.

# Create and maintain spreadsheets, databases and files to support department functions.

# Communicate and coordinate instructions and correspondence with a high level of tact and integrity.

# Assist in drafting, proofing and editing communications.

# This position has frequent opportunity to identify administrative continuous improvements and to develop tools to assist department staff in their effectiveness
# Position Qualifications Minimum of 4 years previous administrative experience in a senior level business Environment; legal experience preferred.

# 8+ years of relevant work experience

# Advanced proficiency and accuracy in Microsoft Office Suite.

# Excellent interpersonal skills – written and verbal.

# Flexibility and the ability to prioritize and meet deadlines.

# Strong time management and follow-through skills.

# Experience making good judgments while working independently with little guidance.

# Must be reliable with a high degree of tact and discipline.

# High level of assertiveness with the confidence to question what is unclear.

# Flexible with the ability to work overtime as necessary.
