Responsibilities
Under minimal supervision, performs highly complex and responsible secretarial and administrative duties. Maintains confidential files and information, handles details of a confidential nature and performs functions requiring discretion and technical skills. Provides assistance to internal and external customers at all levels, utilizing a significant level of skill and knowledge of departmental rules, regulations and procedures. Prepares reviews and composes correspondence, routine forms, reports payment requests, travel arrangements, independently or with minimal direction, utilizing various computer programs. Maintains several departmental status and tracking reports. Keeps meeting take aways’ documents and the status of take aways’. Assists with Project Tracking for team initiatives. Assists with Expense Management and team vacation schedules. Responsible for compilation and analysis of statistical data including a wide variety of departmental projects, including budgeting, project tracking. Using discretion collects data and research to complete assignments. Acts as a resource to administrative assistants and senior administrative assistants. May oversee the workflow of junior incumbents. This may include work assignments; follow up, training and providing feedback to manager.
Qualifications
High School diploma required. Some college preferred.
5 years experience, including working with senior executives
Excellent written and verbal communication skills.
Ability to interact with all levels of employees.
Ability to prepare presentations for management meetings with minimal supervision.
Ability to work independently and use own discretion when faced with routine decision making.
Ability to lead other support staff by answering questions, assisting and training.
Ability to be resourceful and comfortable utilizing internal and external contacts to complete assignments.
Ability to organize and prioritize work and attention to detail is required to perform responsibilities efficiently.
Strong PC skills including word processing, spreadsheet, presentation, internet and internal bank software
Ability to type accurately; ability to use standard office equipment.
Excellent command of the English language, including grammar, spelling and punctuation
Hours and Work Schedule
Hours per Week: 40
Work Schedule: Monday-Friday 8:00AM-5:00PM
