Duties: Maintain and frequently update data in the inventory software applications so that users have the most up-to-date information. Run recounts and capacities according to a strict schedule in spite of any obstacles that may come up. Recounts are a process in which inventory is updated based on the orders that have been processed in the time period since the last recount. Capacities are a process in which the inventory is updated based on the program changes that affected break lengths since the last capacity update. Occasionally there are technical issues that must be worked out to generate these reports. Update the inventory keys that Sales users select from when submitting orders. For example, if a program is currently at 3pm, but will shift to 4pm after a time change, you will need to change the key accordingly. Also, if a key for a never-before-sponsored element doesn t exist, you will need to create it.
Generate and distribute multiple inventory snapshots to be used for operational execution. Many of these reports involve a lot of manual work to put together. Examples include the Tourism Report (shows how many tourism units are in our breaks), the daily/weekly Sellout Report (shows over/under sold time periods on logs), and the Maximum Capacity report (shows true availability levels by factoring in potential break expansions).
Work with Network on break expansions. Process daily expansion requests from log specialists making sure they are accurate, actually needed, and within maximum time range allowed by the Network before passing the break length changes along to Sr. commercial log specialist to be revised on the formats/logs. Also process daily break reductions in accordance with network guidelines.
Generate and distribute inventory reports. Periodically send a high level report to Sales that alerts them of current and pending areas of concern for inventory. Provide CNNi Sellout Reports completed twice a week, this process involves manipulating units on the logs to fit them in available inventory, adjusting any breaks on the logs that are oversold, and generally making inventory look better/more accurate. Also, provide CNN en Espanol Sellout Reports done once a week, involving tasks similar to CNNI sellout report.
Serve as the point person for in-region issues regarding Adventure and inventory. Adventure is the order booking system for Sales personnel–questions frequently surround the order s accuracy as it relates to the needs of the ad campaign. Resolving these queries requires an acute awareness of programming and campaign details. Sales Ops members in-region will avail orders for their own office, but they will keep you abreast local inventory trends. Armed with this knowledge, you must notify other offices and determine if expansions/reductions are needed.
Provide assistance to other team members. Handle responsibilities of other inventory specialists when they are out of the office.
